How to Respond to Google Reviews (Good and Bad): Examples + Rules
Updated June 2, 2026 · 5 min read
Replying to your Google reviews is one of the highest-return, lowest-effort things you can do. It builds trust with future customers, signals to Google that you are engaged, and can turn an angry reviewer into a loyal one. Here is how to do it well.
Why bother replying?
Future customers read your replies as closely as the reviews themselves. A calm, helpful response to criticism often reassures a prospect more than a wall of 5-star reviews. Owner responses also signal an active, well-run business — a quality cue Google and customers both reward.
Responding to positive reviews
Keep it warm, specific, and short. Thank them, reference something concrete they mentioned, and invite them back. Avoid copy-pasting the same line on every review — specificity reads as genuine.
Example: "Thanks so much, Maria — glad the team got your patio finished ahead of the weekend. Enjoy it, and tell us if you ever want to add that fire pit!"
Responding to negative reviews
This is where reputations are made. Stay calm, never argue, and never get defensive in public. Acknowledge their experience, apologize where appropriate, and move the details offline.
- Respond quickly — within a day or two, before it defines your profile.
- Acknowledge and empathize before explaining anything.
- Take it offline: offer a direct contact to make it right.
- Never reveal private details about the customer or the transaction.
- Keep it short and human — a paragraph, not an essay.
Example: "I'm sorry your visit fell short, James — that's not the experience we want. I'd genuinely like to make it right; please reach me directly at owner@example.com and we'll fix this."
